Undergraduate FAQs: Once An Offer Has Been Made

  • Who should I contact if I have a query concerning the conditions of my offer?

    If you need further information or require clarification of your conditional offer you should send an email to undergradadmissions@soas.ac.uk making sure you include your full name and UCAS ID number.

  • How do I reply to my Offers?

    Once a decision has been made on all of your applications UCAS will send you a letter and instructions on how to reply to your offers on-line using ‘Track’.  You reply to each offer in one of the following ways: accept the offer as Firm (first) choice (F); accept the offer as Insurance (second) choice (I), decline the offer (D).  Applicants receiving Unconditional offers will only be required to make a Firm or decline reply (Insurance choices do not apply).  Please make sure you reply to your offer by the deadline given to you in the letter from UCAS. Please also note that if you have replied to your offer through UCAS Track, you do not need to write to SOAS to inform us about your acceptance as well. Our records will be updated automatically and you will be sent any necessary information at the appropriate time.

  • I have accepted an offer for one course at SOAS but have changed my mind and would like to be considered for an alternative programme at SOAS. Is this possible?

    It may be possible to change your offer to an alternative degree programme at SOAS but this will depend on whether there are places available on the programme you wish to change to and whether you meet the entry requirements. To be considered for an alternative programme you will need to send an email to the Undergraduate Admissions Office (undergradadmissions@soas.ac.uk) detailing which course you wish to change to and your reasons for wanting to change.  Please ensure that you quote your full name and UCAS ID number in all correspondence.

    Please note that applicants will not be permitted to transfer to those programmes where places are in high demand and there are no vacancies. Courses can fill up by the end of January meaning that no further places can be offered either to new applicants or to students holding places on other programmes.

  • Who should I contact if I accept my place but then need to withdraw or decide to go somewhere else?

    You will need to send an email request to undergradadmissions@soas.ac.uk quoting your full name and UCAS application number and stating the reason for your withdrawal.  If your status at SOAS is Unconditional Firm you will also need to confirm whether you wish to withdraw completely from UCAS or whether you wish to be ‘released into clearing’ so that you can go to an alternative institution.

  • How do I inform you of extenuating circumstances that I feel may affect my examination results?

    If you wish to make SOAS aware of serious problems (such as illness or family bereavement) that you feel may have adversely affected your performance you should arrange for your school or college to send us details in writing BEFORE we receive your results.  We can then consider these circumstances when making a decision on your results.  Please send details to:

  • What do I do when I receive my examination results?

    When we receive your exam results your grades will be assessed and if you have met the conditions your offer will be confirmed (or rejected if you have failed to meet the conditions). When you receive your results, please check online via Track for a decision.

    If you are holding a conditional offer, UCAS should automatically send your results to SOAS  for the following qualifications: GCE & VCE A Level and AS Levels; BTEC National Award/Certificate/Diploma, Scottish Highers/Advanced Highers, Irish Leaving Certificate, International Baccalaureate (This is not automatic for the IB: please speak to your school or college if you are unsure whether your results will be sent to UCAS), Welsh Baccalaureate, CIE Advanced International Certificate of Education Diploma (AICE).

    If you are taking other qualifications (including any English Language Examinations) you must send us a copy of your results as soon as you receive them. Documents which are not in English must be provided along with a translation from the issuing institution or an official translator and stamped by them. Please send the necessary documents by post, by fax or as a scanned enclosure via email as detailed below. (NB:  If you are taking the TOEFL English Language test an original version of your results must be sent to SOAS.  Copies are not acceptable.) Please ensure that your UCAS ID number is quoted with all documentation sent to us.

    If you are made an offer conditional only on providing evidence of your English Language proficiency, you will need to send us evidence of all your academic qualifications mentioned in your UCAS application.

    Please note that where results are received by SOAS after 31 August 2012, confirmation is at the School’s discretion. This includes appeals and re-marks and, although we will endeavour to accommodate all situations as far as possible, no guarantee can be given that we will be able to accept applicants after 31 August 2012 even if results meet the conditions of the offer. In this case, we may have to ask you to re-apply for entry in 2013.

  • How will I know that my place has been confirmed after my examination results?

    You can check the progression of your application on-line through ‘Track’ on the UCAS web-site. You will also receive an AS12 confirmation letter from UCAS confirming your acceptance. At the end of August, we will send all students holding a confirmed (Unconditional Firm) offer an orientation pack which contains useful information to help you prepare for your studies at SOAS and instructions for enrolment.
    Please also note that if you have received a letter from UCAS advising that your place has been confirmed and your Track record states that your offer is Unconditional/Firm, you do not need to write to SOAS to inform us about your acceptance as well. Our records will be updated automatically and you will be sent any necessary information at the appropriate time.

    You should only write to us at undergradadmissions@soas.ac.uk to advise us if you will not be taking up your confirmed place in order that we may free this place up for another applicant.  

    You will not receive an offer confirmation letter directly from SOAS.  If you need a confirmation letter for student finance applications or any other reason please email a request to undergradadmissions@soas.ac.uk stating the purpose for which you need the letter.

    Please note that the procedure for obtaining a visa is different and does not involve SOAS sending you a hardcopy confirmation letter. Please see the question under the international applicant’s section and also visit the SOAS pages on entry to the UK for further information regarding entry clearance to study in the UK.

  • If I have received an Unconditional offer will I need to provide evidence of my qualifications?

    Yes. If you have received an Unconditional offer based on examinations you have taken previously you will need to provide us with copies of documents evidencing the qualifications you have detailed on your application form. This applies to all qualifications including English language proficiency.

    Please note that you may be required to bring your original documents with you when you come to enrol.

    Please note that although your offer appears on the UCAS web site as Unconditional, you will not be permitted to enrol if you have not provided acceptable evidence.

  • What happens if I don’t return the reply slip on my AS12 confirmation letter before the deadline?

    Please note that your place at SOAS will NOT be cancelled if you miss the deadline for returning your AS12 reply slip.  If you are holding an Unconditional Firm offer at SOAS your place will be held until the end of September unless you inform us that you wish to withdraw from SOAS.

    Please also note that if you have received a letter from UCAS advising that your place has been confirmed and your Track record states that your offer is Unconditional/Firm, you do not need to write to SOAS to inform us about your acceptance as well. Our records will be updated automatically and you will be sent any necessary information at the appropriate time.

    Please only write to us at undergradadmissions@soas.ac.uk to advise us if you will not be taking up your confirmed place in order that we may free this place up for another applicant.  

  • What happens if I don't get the results I was asked for?

    If we have any places left we may reconsider those candidates who have narrowly failed to achieve their offer conditions. It is unlikely however, that we will be able to admit any applicants who fail to meet their target by a wide margin. If we are unable to offer you a place, your application will be rejected so that you can go to either your second (Insurance) choice institution or apply for other available courses through clearing.
    Occasionally, we may contact applicants who have narrowly failed to meet their requirements by email and offer them a place on an alternative degree programme at SOAS.   Please ensure that you reply to any emails from SOAS urgently so that we know whether to make you a changed course offer or release your application into clearing.
    Please note that where results are received by SOAS after the 31st August, confirmation is at the School’s discretion. This includes appeals and re-marks and, although we will endeavour to accommodate all situations as far as possible, no guarantee can be given that we will be able to accept applicants after the 31st August even if results meet the conditions of the offer.     Please send your results even if you think you have not met the conditions of your offer as you will not be able to enter clearing or accept any other offers until a decision has been made on your application and processed by us.

  • What if I do not meet the conditions of an offer but have requested a regrade on my examination results?

    If you are successful in obtaining the necessary grade and advising SOAS by the 31st August then we will confirm your place. Please note that where results are received by SOAS after the 31st August, confirmation is at the School’s discretion. We will endeavour to accommodate all situations as far as possible but no guarantee can be given that we will be able to accept applicants after the 31st August even if results meet the conditions of the offer. In this case, we may have to ask you to re-apply for entry in 2014.

  • When must SOAS receive my results in order to guarantee that I will have my place confirmed if I meet the conditions of my offer?

    Where results are received by SOAS after the 31st August, confirmation is at the School’s discretion even if results meet the conditions of the offer. This includes appeals and re-marks and although we will endeavour to accommodate all situations as far as possible, no guarantee can be given that we will be able to accept applicants after the 31st August. In this case, we may have to ask you to reapply for entry in 2014.

  • If I do not meet the conditions of my offer can I defer my conditional offer to the following year while I endeavour to improve my grades?

    This is not possible. We can only defer the place of an applicant who is holding an unconditional, firmly accepted place at SOAS. We will consider applications from those re-sitting in an effort to improve grades, but you will need to make a fresh application through UCAS for the next year. Please note that this will be a completely new application and there is no guarantee we will make you an offer of a place simply because you received an offer in the previous year.

  • Do you usually have places available in UCAS Clearing?

    UCAS applicants who have not secured a place at any institutions will be entered into clearing during August.  Clearing is a UCAS service that helps applicants to find vacancies on courses (further details of this service can be found on the UCAS website: www.ucas.com)

    There tends to be a high demand for places on the majority of Undergraduate Programmes at SOAS and it is unlikely that we will have any places available in clearing.  If there are vacancies these will be advertised in the normal manner and will tend to be filled very quickly. We do not normally lower our entry requirements in clearing.
